Meeting Cost Calculator
Meeting cost = attendees × hourly cost × hours. Eight people at $45 an hour in a one-hour meeting cost $360 — and $18,720 a year if it happens every week. Add prep time and loaded costs for the full figure.
- Cost = attendees × hourly rate × (meeting + prep) hours.
- Hourly rate from salary = salary ÷ 2,080.
- A weekly one-hour meeting of 8 at $45 = $18,720 a year.
- Loaded cost adds taxes and benefits (often 1.25–1.4×).
How to calculate the cost of a meeting
- Count attendeesEveryone who attends, including the organizer.
- Find an hourly costUse average hourly pay, or salary ÷ 2,080. For the true cost, multiply by a loaded-cost factor for taxes and benefits.
- Add prep and follow-upReading, slide preparation and notes are part of the meeting’s cost.
- MultiplyAttendees × hourly cost × hours. For recurring meetings, multiply by meetings per year.

Worked examples
Real-world scenarios, worked through step by step.
Weekly team meeting
8 people, $45/h, 60 minutes, 4 a month: $360 each, $1,440 a month, $17,280 a year (48 meetings).
With prep and loaded cost
Same meeting with 15 minutes of prep and a 1.3 loaded factor: 8 × 1.25 h × $58.50 = $585 per meeting.
Daily stand-up
7 people, 15 minutes, $50/h: $87.50 a day — about $22,750 a year.
Client opportunity cost
4 consultants at a $150 bill rate in a 1-hour internal meeting: $600 of billable time.
How to make meetings cost less
- Ask whether the meeting needs to happen — could it be a written update or a short voice note?
- Invite only the people who need to decide or contribute; share notes with the rest.
- Default to 25 or 50 minutes instead of 30 or 60.
- Share an agenda and the decision needed in advance.
- Review recurring meetings every quarter and cancel the ones that have outlived their purpose.
Many status meetings exist because work is not visible. When tasks and time are tracked in one place, managers can see progress without a meeting — see managing remote teams without micromanaging and why voice notes beat long messages.
Using meeting cost data
Showing the cost on the invite changes behavior: people trim attendee lists and agendas when a recurring meeting is shown as $20,000 a year. Track total meeting hours per person each week; when they exceed a set share of working time, cut or consolidate. Time reports by activity make this visible across a team.
What common meetings cost

| Monthly all-hands | 120 | 60 min | $40 | $4,800.00 | $57,600 |
| Quarterly planning | 12 | 4 h | $60 | $2,880.00 | $11,520 |
Run a meeting audit in five steps
- List recurring meetingsEvery recurring meeting on the team calendar, with attendees and length.
- Price themUse this calculator to put an annual cost on each.
- Ask what each one decidesIf a meeting only shares information, it can probably be written.
- Cut, shrink or mergeRemove one in five, shorten the rest, and trim attendee lists.
- Re-check in a quarterMeetings creep back; a quarterly review keeps them in check.
Async alternatives
- Written weekly updates in a shared document or channel.
- Short recorded walkthroughs instead of demo meetings.
- Voice notes attached to tasks for instructions — see audio task assignment.
- Task boards that show status, replacing status meetings — see task management.
How different industries use it
- software teams: Sprint ceremonies, stand-ups and reviews add up; teams often find one recurring meeting can become a written update.
- agencies: Internal reviews and client status calls eat into billable time — price them at the bill rate.
- call centers and bpos: Team huddles take agents off the phones; their cost includes the queue time while they are away.
- healthcare: Handover meetings are essential but should be structured and short, especially at shift change.
- Distributed teams: Meetings across time zones push someone outside working hours — rotate the inconvenient slot or go async.
Meeting cost per minute
How much every minute of a meeting costs, by number of attendees and average hourly rate (wages only):
| Attendees | $30/h | $45/h | $60/h | $80/h |
|---|---|---|---|---|
| 4 | $2.00 | $3.00 | $4.00 | $5.33 |
| 6 | $3.00 | $4.50 | $6.00 | $8.00 |
| 8 | $4.00 | $6.00 | $8.00 | $10.67 |
| 10 | $5.00 | $7.50 | $10.00 | $13.33 |
| 15 | $7.50 | $11.25 | $15.00 | $20.00 |
| 25 | $12.50 | $18.75 | $25.00 | $33.33 |
Starting 5 minutes late with 10 people at $45 an hour wastes $37.50 — every time. Over a year of weekly meetings, punctual starts alone are worth nearly $2,000.

How we calculate
- Person-hours = attendees × (meeting + prep minutes) ÷ 60. Cost = person-hours × hourly rate × loaded-cost multiplier.
- Hourly rate from salary = salary ÷ 2,080. Annual cost = cost × meetings per month × 12.
- All calculations run in your browser; nothing you type is sent to StaffTiming or stored.

Frequently asked questions
How do I calculate the cost of a meeting?
Multiply attendees by their average hourly cost and by the meeting length in hours.
How do I get an hourly rate from a salary?
Divide the salary by 2,080.
What is a loaded cost?
Wages plus employer taxes and benefits, commonly 1.25–1.4× wages.
Should prep time be included?
Yes, if people prepare — it is part of the cost.
How much does a weekly meeting cost a year?
Weekly cost × 52 (or × the number of meetings actually held).
How can I reduce meeting costs?
Fewer attendees, shorter meetings, clear agendas and async updates.
Is a stand-up meeting worth it?
If it is short and unblocks work, often yes; if it repeats information already visible, probably not.
Should I use bill rates?
For client-service teams, the bill rate shows the opportunity cost.
How many meetings are too many?
When they crowd out focused work; track meeting hours per person.
Does this include travel?
Add travel time to the meeting length if people travel.
Can I show the cost in calendar invites?
Some tools do; you can also add the figure to the agenda.
Is the calculation private?
Yes, it runs in your browser.
What is the most expensive meeting?
Usually large recurring meetings: an all-hands or a big weekly sync costs more over a year than most one-off meetings.
How much does a 30-minute meeting cost?
Attendees × average hourly cost × 0.5. Six people at $50 an hour cost $150.
How much do daily stand-ups cost a year?
A 15-minute stand-up for 8 people at $50 an hour is $100 a day, about $26,000 a year (260 days).
How do I calculate meeting cost with salaries?
Divide each annual salary by 2,080 to get an hourly rate, then multiply by the meeting hours.
How many hours a week do managers spend in meetings?
It varies widely. Tracking meeting time for a few weeks gives a reliable figure for your own team.
What is a loaded hourly rate for meetings?
Wages multiplied by a factor (often 1.25–1.4) to include taxes and benefits.
Should I include the meeting organizer?
Yes. The organizer’s preparation and meeting time are part of the cost, often more than anyone else’s.
How do I reduce the cost of recurring meetings?
Shorten them by default, trim the attendee list, and replace status updates with a written summary. Review every recurring meeting each quarter.
Is a meeting cost calculator accurate?
It is as accurate as the rates you enter. Using loaded costs and including preparation time gives the most realistic figure.
Automate this with real tracked data.
StaffTiming records hours as they happen and turns them into payroll-ready timesheets, so you never re-type a calculation.
